Getting started
Can we move our existing student records from Excel or paper registers into Kalvi?
Yes. The office can bulk-import students, classes and sections from a spreadsheet during setup, instead of typing every record in one at a time.
How long does setup take, and how much teacher training is needed?
Setup starts with bulk-importing classes, sections and students in one step instead of typing each in by hand. Teachers only need to learn two-tap attendance, the homework diary and notices to get value on day one — fees, exams and timetable can be layered in at the office's own pace.
Parents & Tamil
Do parents need to install an app?
No. Parents sign in with a phone number and a school-issued access code, in any browser, on any device. There is nothing to download from an app store and nothing to update.
Does it work in Tamil? Are notices and the parent portal available in Tamil?
Yes. Notices can be posted in Tamil, and the entire parent portal — attendance, fees, receipts, results — can be shown in Tamil per guardian, alongside English. It is built in from day one, not bolted on later.
Can it send fee reminders and absence alerts on WhatsApp or SMS?
Absence alerts go out automatically the moment a child's attendance changes to absent — bilingual, WhatsApp-preferred with SMS fallback — and never repeat on a correction or re-mark. Fee reminders are office-triggered, never automatic, so a guardian only hears from the school when the office chooses to send one. No spam, no unnecessary follow-ups.
Money & receipts
How much does it cost? Are there hidden or per-student charges?
Flat ₹1,500, ₹3,000 or ₹5,000 per school per month depending on tier — no setup fee, and no per-student charges. Your bill doesn't grow because you admitted more students.
Are fee receipts numbered sequentially and audit-ready?
Yes. Every payment generates a sequential numbered receipt in the format RCP-YYYY-NNNNNN, created inside the same database transaction as the payment itself — a double payment is refused, and receipt numbers cannot be skipped or duplicated.
Who owns our data — can we export everything if we leave?
Your school's data is yours. You can export your records and cancel at any time — billing is month-to-month, with no annual lock-in.
Operations & security
What happens when the internet is slow or down at school?
Kalvi is a web app and needs a connection to save changes. Pages are kept under 300KB so they load reliably on ordinary mobile data, and forms are built so a slow or failed save is easy to notice and retry. There is no offline mode today.
What happens to old records when the academic year rolls over?
Attendance, fees and marks stay tied to the academic year they were recorded in, so last year's records remain intact and visible for reference once a new academic year is set up.
Does it support Tamil Nadu State Board report cards as well as CBSE?
Report cards are built from the subjects and marks your school configures, so they follow whatever structure your school actually teaches to. The TN EMIS export is purpose-built for Tamil Nadu's state reporting format.
Is our data secure? Who can see student information?
Student data is encrypted, and every area of the app is scoped to your school — office staff, teachers and parents each see only what their role and their own children give them access to.
